The CTO Office PjM will be responsible for planning and managing budget activities, planning and managing lab projects, and project managing all purchasing activities.  This role will also be responsible for managing projects related to facilities.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Drive the budget activities for the CTO Office.  This includes planning, tracking and managing. 
  • Manage the capital planning and budgets for the CTO Office, help the team navigate the capital process.
  • Maintain capital equipment inventory for CTO Office, new equipment, retirement, surplus etc.
  • Establish and drive process for tracking open and pending PO’s.  Track POs to forecast and ensure we are tracking to plan.
  • Become proficient in the Oracle Cloud ERP system, become the go to person or mentor for the CTO users of the system
  • Track and maintain a database of legal contracts for the CTO Office, interface with the legal team regarding contracts, and be our group expert
  • Help to support temporary staffing requests, contractor and consulting contracts
  • Support the real-estate site operations planning and budgeting, become the representative for the CTO Office regarding facilities (lab upgrades, safety training, coordinate people movements, etc.)
  • Support employee on and off boarding. 
  • Interface with HR team regarding personnel actions.
  • Maintain a detailed headcount plan and monitor actual actions against planned actions.
  • Align head count information to department budgets
  • Submit purchase requests for department items, standards, help submit invoices for open contracts, etc.
  • Coordinate activities in the CTO Office regarding ISO audits and other, be part of audit team as necessary
  • Project manage other activities in the CTO Office.

QUALIFICATIONS

  • 3-5 years of related experience
  • Bachelor /Associate degree in Finance, Operations, or Engineering Management
  • Program Management certificate / formal training
  • Strong business acumen with the ability to focus on the right things
  • Self-starter – must have the ability to drive things with little supervision
  • Must have the ability plan and organize activities
  • Excellent written and communication skills.
  • Familiar with Microsoft Office Suite, including Excel, Word, and Powerpoint
  • Must be all about execution – this is not a box checking PMO role
