  • Supports a large department.
  • Work on special projects, interacting with high-level contacts internally or externally.
  • Itemize, track and maintain status for project logs.
  • Assist with development and enhancement of corporate presentations for executives.
  • Research, compile and proof complex word processing assignments including letters, reports, graphs and presentations using document, spreadsheet and graphics software.
  • Screen phone calls and take messages.
  • Arrange conference calls
  • File, schedule appointments and manage calendar for department, make travel arrangements and order office supplies.
  • Prepare purchase orders, check requests, expense reports, travel authorization requests and sort mail.
  • Provide information on organization policies and procedures.
  • Under the direction of manager, prepare departmental organization charts.
  • In advance of group meetings, ensure meeting room is properly equipped and materials are prepared.
  • Arrange catering for meetings as directed.
  • Assist with videoconference operations.
  • Perform complex analytical tasks. 
  • Ensure work space, equipment and supplies are in order for new hires.
  • Serve as back-up for other admins on vacation, sick or on leave.


  • 2+ years  Administrative experience
  • Bachelor's Degree preferred
  • Microsoft Specialist Certification in Excel, Outlook, PowerPoint and Word preferred
  • Best practices for clerical, secretarial and administrative procedures.
  • Common general business practices such as use of a purchase requisition.
  • Company’s policies and procedures regarding travel, purchase authorizations, confidentiality, etc.
  • Competent with computer applications.
  • Excel – able to create/update spreadsheets with links, mathematical formulas, functions (average, look-up, etc), charts, and graphs.
  • Word – able to create/update documents with complex formatting such as table of contents, columns, tables, charts, and graphs.
  • PowerPoint – able to create/update presentations with complex formatting such as columns, tables, charts, graphs, bullets, animation, backgrounds, etc.
  • Able to operate facsimile, copier, telephone, calculator, adding machine, computer keyboard (50 wpm) and mouse.
  • Email – able to send/receive messages and files through the company email system.
  • Intranet/Internet - able to locate and access sites relevant for business purposes.
  • Microsoft Outlook – able to schedule/change meetings with the correct resources (people, meeting rooms) and notify invitees.
  • Language Skills, ability to: Read, write and speak fluent English.
  • Respond effectively to verbal or written inquiries.
  • Read and interpret difficult instructions.
  • Read and interpret documents such as policy and procedure manuals.
  • Write complex reports and correspondence with correct grammar, punctuation and spelling, cohesive structure, concise wording and appropriate tone.
  • Reasoning Ability, ability to: Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Interpret difficult instructions.
  • Arrive at valid conclusions and recommend reasonable courses of actions within the scope of the position.
  • Good communication skills.
  • Exhibits team work.
  • Able to multi-task and maintain composure.
