ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

  • Supporting VP & Direct Staff, Mfg Organization in the Great Oaks Wafer Mfg Division
  • Provide Executive level support for VP, Sr Directors / Director Direct Staff within Wafer Mfg Operations team
  • Provide exceptional professional customer service skills, demeaner; create a welcoming/ interactive environment and positive experience for Staff and with visitors
  • Provide significant level of attention to detail in executing all aspects of job
  • Provide high level of confidentiality with sensitive information (e.g. organization changes before announcements etc)
  • Provide Real-time management of multiple calendars, create executive level invitations with agendas and manage meeting requests
  • Prepare and edit Executive level correspondence, communications, presentations and other documents
  • Monitor, respond to and distribute incoming Executive Level communications
  • Answer and manage incoming calls for executive team with professional courtesy and helpfulness
  • Liaise with internal and external Executives and within all levels as needs arise
  • Display strong proficiency in MS office & BOX, including Outlook, Excel, PowerPoint and Word
  • Display exceptional organizational skills for managing:  e-files, org chart revisions, vacation trackers and revisions, awards, Desk area, general Stockroom, event coordination
  • Create and control organization charts all divisions within Mfg Org
  • Serve as Professional Executive Level Event Coordinator:  Coordinate Executive level Operational Review Events by Reserving locations, preparing conference rooms, event sites, food/drinks and supplies etc.
  • Handle Executive level administrative items for the department
  • Order Office supplies and provide other general supplies for Executive staff
  • Complete and submit expense reports within 2 weeks of receipt
  • Create Travel arrangements such as booking flights, cars/ transportation, making hotel reservations, coordinating itinerary with admins located at destination
  • Conduct research, assemble and analyze data to prepare Executive level reports and documents and execute employee awards program
  • Assist and support Wafer Mfg Sponsored Employee Engagement communication, events and activities for all shifts; create Marketing slides via ppt for Employee Engagement events; uploading to electronic platform as needed
  • Support company sponsored training courses for all shifts as needed
  • Record, transcribe and distribute minutes of meeting
  • Review operating practices and implement improvements where necessary
  • Create and/or support Executive level presentations for VP and Direct Staff
  • Ability to work over-time and have flexible schedules during the week, mornings, evenings and weekends to support Staff and / or Events
  • Work well with other Admins and team members
  • Support other Admin functions as needed
  • Maintain a professional demeanor in a high paced environment
  • Perform duties and exhibit sound judgement and decision making with little guidance

REQUIRED:  

  • 4+ years’ experience in an Administrative role with strong organizational skills    
  • AA degree or higher is preferred   
  • Exceptional multi-tasking skills
  • Experience managing multiple calendars
  • Professional demeanor and excellent customer service skills at all times
  • High degree of confidentiality required
  • Proactive and organized with a high attention to detail
  • Demonstrates advanced proficiency by quickly adapting to new technology and easily acquiring new technical skills
  • Exhibits sound judgment and the ability to make reasonable decisions in the absence of direction
  • Ability to anticipate needs as well as foresee and prevent problems by taking action
  • Excellent written and verbal communication skills
  • Motivated to work in a fast-pace environment and ability to prioritize proactively, with a sense of urgency
  • History of creative problem-solving skills, with the ability to work well collaboratively and under pressure
